Delete Your Account & Data — WhiteKnight Academy

Scope — where this applies. This document covers WhiteKnight Academy as a whole: both the public website at whiteknight.academy and the learning platform at analytics.whiteknight.academy. Where it refers to "the Site", "the Service", or "the Platform", it means both unless a specific one is named.

Delete your account and data

You can ask us to delete your WhiteKnight Academy account and the personal data linked to it at any time. Deletion is free. If the account belongs to a child, the child's parent or guardian can make this request on their behalf.

The fastest way — delete it yourself in the app

If you can sign in, this is the quickest route and needs no waiting:

  1. Open Settings → Privacy (in the mobile app: Settings → Privacy; on the web: Settings → Privacy & data).
  2. Choose "Delete my account".
  3. Confirm. Your access ends immediately, and the erasure described below begins.

  • Parents managing a child's account use the same Privacy section of their parent dashboard.

If you can't sign in — ask us by email

Write to privacy@whiteknight.academy from the email address on the account, with the subject "Delete my account". Tell us:

  • the account email (and, for a child's account, the child's name as it appears in the app), and
  • that you want the account and data deleted.

So we don't delete the wrong person's data, we may ask you to confirm your identity (for example, by clicking a verification link we send to the account email). We will not ask for more information than we need to verify you.

What gets deleted

Once your request is verified, we delete the personal data we hold about the account, including:

  • your profile (name, email, avatar, date of birth, preferences);
  • your chess data — games, analyses, puzzle/homework attempts, statistics and progress;
  • your messages with coaches, and any coach notes about a student;
  • lesson records and any lesson recordings linked to the account;
  • gamification data — XP, streaks, badges, leaderboard entries.

What we keep, and why

The law requires us to keep a small amount of data for a limited time even after deletion. We keep only what we must, and we do not use it for anything else:

  • Proof that consent was given and withdrawn — kept for up to 10 years (child-protection / COPPA and GDPR evidence obligations).
  • Invoices and payment records — kept for 5 years (Polish Accounting Act).
  • Minimal records needed to prevent fraud, resolve disputes, or meet a legal or security obligation — kept only as long as that need lasts.

We also keep a one-way record that the account's email was deleted, so that if someone signs up again with the same address, things work correctly. This record does not identify you.

How long it takes

  • Your access ends immediately when you confirm in-app, or as soon as we verify an emailed request.
  • We complete the erasure of your data within 30 days (EU/UK), or sooner where a shorter legal deadline applies. For requests from California we act within 45 days; for parental requests about a child's data we aim for 10 business days. If more than one deadline could apply, we use the shortest.

If we ever need longer for a genuinely complex request, we will tell you and explain why, within the first deadline.

If we can't fulfil a request

If we cannot verify who you are, or if the law requires us to keep specific data (see "What we keep"), we will tell you clearly and explain your options, including how to complain to a regulator. Details and regulator contacts are on our Contact & Complaints page.
